Its features include consultation management, dental diagrams, documentation, digital charting, appointment scheduling, laboratory tests, and withdrawal assessment.

Sapphire Health was developed in 2010 for use in jails, prisons, and correctional facilities and was built with feedback from correctional healthcare professionals. The platform benefits the smallest county jails and the largest state correctional institutions.

Offsite consultation management

Sapphire EHR’s consultation features help you manage and schedule offsite visits. The platform shows you each consultation request with the provider’s name, clinic type, consult type, urgency, date of request and approval, and more. You can decline and approve requests, recommend alternative treatments, and print your consultation appointment history through the EHR.

Dental module

The dental module is an optional feature that shows a color-coded dental diagram. This diagram displays the patient’s current condition and those with waitlisted and completed treatments. The platform schedules items based on procedure type, dates, housing locations, or level of care.


Document management is easier than ever on Sapphire EHR. This feature allows you to use templates, upload files of any size or type, or categorize documents for easy retrieval. You can download these files for later use.


Sapphire EHR creates digital versions of your paper-based documents. The forms are customizable, allowing you to include and exclude certain questions. You can also use triggers to help users fill out forms automatically and record signatures whenever necessary. Sapphire EHR experts tailor these forms based on your input and workflows.

Patient hotlists

The EHR software helps you identify high-risk patients by placing them on a Hotlist. If you have patients who are a suicide risk, need psychiatric assessment, require tuberculosis screening, and the like, you can put them on the Hotlist. The platform automatically updates the remaining doses available after a vaccine is administered. It also tracks each dose by lot and shows the person who received it and when it was administered. You can quickly monitor patients booked into your facility and accomplish necessary screenings using customizable forms. These forms can be designed to follow the standards of the National Commission on Correctional Health Care (NCCHC), American Correctional Association (ACA), Bureau of Prisons (BOP), and others.

Secure Messaging

The platform also allows you to attach messages and links to patient charts and send automated messages to patients.

Labs and Imaging

You can say goodbye to manual entry of lab results. Sapphire EHR automatically displays patient lab results, including pending results, in the patient charts. If there are abnormal results, the system flags them so you can monitor critical conditions. You can also add notes and comments on any lab or imaging test, recommending which results need follow-up. Sapphire EHR tracks results you’ve reviewed and signed off, keeping your queue organized.


Sapphire EHR lets you document medication administrations, refusals, no-shows, refill requests, and notes through the MedPass feature. The platform also shows the photo and description of each medication. The platform lets you view MedPass data offline and includes barcode scanning ability.


Sapphire EHR’s reporting feature is free and customizable. It can create most virtual reports within one business day if you provide all the needed information. You can also export reports in multiple formats, including Word, Excel, TIFF, CSV, and PDF.

Special needs and restrictions

This feature lets you quickly identify and manage special medical requirements or limitations a patient may have. It records information about specialized medical equipment the patient uses, their reasons for using them, and other types of restrictions such as property, housing, dietary, and work-related limitations. You can quickly access this information from the patient charts. Moreover, Sapphire EHR integrates with OMS/JMS apps, ensuring that any restriction documented on Sapphire EHR is synchronized with these other systems.


Sapphire EHR’s withdrawal feature records and manages the withdrawal symptoms of patients using standard assessments. It provides an area where you record vital information related to patient withdrawal protocols. It also includes alerts to help staff stay on top of monitoring requirements and built-in options for follow-up after the withdrawal order expires.

TB testing and monitoring

The EHR system provides a dedicated TB module in the patient chart to document tuberculosis-related information. You can record PPD tests, chest x-ray results, and symptoms in this module. This health data automatically syncs with patient charts. Also, a specialized queue manages numerous patients simultaneously, providing a more efficient way to monitor those patients requiring TB assessments.

How Does the Sapphire EHR Work

Sapphire EHR is a cloud-based platform that can be installed in three ways. You can choose Quick Install (QI), Sapphire’s out-of-the-box EHR solution recommended for small correctional facilities. Customized Install (CI) is tailored to your workflow, requiring less intensive training. Lastly, Hybrid Install (HI) is for correctional facilities that require light customization and offers the same out-of-the-box functionality as QI.
