Job Description

This position is assigned to the Program Accountability, Assessment, and Database Systems (PAADS) unit of the Bureau of Exceptional Education and Student Services (BEESS), to assist with the management of processes and systems related to on-site monitoring for student outcomes and BEESS strategic plan.

Duties and Responsibilities
(Note: The omission of specific job duties does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.)

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

Professional Development

  • Identifies and establishes written procedures and protocols to establish timelines, ensure continuous improvement, and capacity building of the section.
  • Collaborates with bureau leadership and staff to build consensus of common language and understanding of timelines and expectations for monitoring activities for student outcomes.
  • Takes initiative in managing project from start to finish, soliciting expertise from colleagues where needed/appropriate.
  • Researches and problem solves assignments and collaborates with bureau staff, as needed.
  • Maintains written procedures for all annual duties such as on-site monitoring procedures, LEA Determinations, Strategic Planning meetings and creates new ones as assigned.
  • Collaborates with bureau staff on implementing new requirements for newly passed federal or state laws that have a direct effect on PAADS, including on-site monitoring visits.

LEA On-Site Monitoring, Technical Assistance and Data Support

  • Collaborate with PAADS team on the annual LEA Determinations process, provide summary presentation for leadership review and create/route Chancellor Memos for Superintendents. Create a spreadsheet that includes all current data for all indicators to determine district needs.
  • Analyze all district data and make recommendations for tiered support from BEESS that includes desktop and on-site monitoring.
  • Create annual BEESS calendar that includes all project conference dates, BEESS annual activities and leadership availability to determine open dates for on-site visits.
  • Coordinate all activities for onsite monitoring, including notifying districts, scheduling the visit, creating the on-site agenda, reviewing and analyzing school level data to select schools, leading all pre-planning conference calls and activities related to the visit.
  • Collaborate with PAADS data team to create a PowerPoint presentation that includes district and school data to be shared at the welcome meeting by leadership.
  • Create final on-site report templates including data for each area of the visit and provide to the on-site team lead, which includes the coordination of the final report review process and dissemination.

BEESS Strategic Plan and Stakeholder Support

  • The employee is responsible for the following regarding strategic plan:
  • Demonstrating knowledge of assigned indicator(s), related data and improvement activities;
  • Oversee membership directory for Strategic Plan teams, including providing listserv for communication with leads.
  • Schedules and plans quarterly strategic meetings with staff.
  • Coordinates and plans all components of the annual face to face end of year strategic plan meeting.
  • Creates timeline for annual strategic plan reviews with leadership that aligns with the annual SAC meeting when the strategic plan is printed and provided to members.

The employee is responsible for the following regarding stakeholder support:

  • Exhibits a customer focus in all relationships and actively participates as a member of the bureau.
  • Meets the urgent requirements of our stakeholders by providing expertise, resources, and meeting individual adult learning styles that satisfy mutually determined needs.
  • Creates or maintains navigation guides; drafts and maintains FAQs; develops presentations and manages events, as needed; and provides ongoing support.
  • Facilitates development of communications related to bureau and section policies and procedures.
  • Collaborates with others to prepare timely and accurate responses to stakeholder inquiries, including responses for parent calls.

General Supervision Website (GSW)

  • Section administrator with User administrative access for the Strategic Plan and Monitoring for Performance components of the GSW.
  • Update the Strategic Plan in the General Supervision Website as needed and provide ongoing support to team leads for the Strategic Plan Component and the Monitoring for Performance component.
  • Monitoring for Performance- Ensure that all districts visited and required actions are inputted each year for this component as well as coordinating with DRM on the collection of the required actions from the on-site final reports.
  • Test the website to ensure all content, features, and functionality are operating as needed; initiates service requests to programmers for updates to the system; verifies the system is ready by date certain.
  • Serves as the bureau’s admin user to provide access to strategic plan team members inside and outside the bureau based on the needed level of behaviors.

Preferred Qualifications

Preference will be given to applicants who have excellent writing skills.

Educational Substitutions

A bachelor’s degree in Education from an accredited college or university can replace four years direct experience working with students with disabilities.

LEAVE INFORMATION:

    • Annual Leave – All full-time Career Service employees filling established positions earn annual leave in varying increments dependent upon years of creditable service. Employees with up to 5 years of creditable service earn 8.667 hours per month, with 5 to 10 years earn 10.833 hours per month and those with over 10 years of service earn 13 hours per month. Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.
